Information we collect
We collect information you provide directly, including demo-request details, contact information, property and company context, support or product feedback, and information submitted while using Arkaiv.
When you use the service, we may process account, membership, vehicle, guest-request, staff, operational-event, messaging, notification, payment-integration, and device information as required to provide the configured property workflows.
We also collect limited technical information such as browser type, device information, referring page, usage events, and security logs. Demo submissions use a one-way hash of the requesting network address for abuse prevention rather than storing the raw address in the lead record.
How we use information
We use information to provide and secure the service, configure properties, authenticate users, coordinate operations, communicate with guests and teams, process enabled integrations, respond to inquiries, improve product usability, and meet legal or contractual obligations.
Marketing inquiry information is used to respond to the request and understand the organization’s operational needs. We do not sell personal information.
Service providers and integrations
Arkaiv may use infrastructure, database, analytics, messaging, payment, email, notification, and hosting providers to operate the service. Information is shared only as necessary for those providers to perform their services.
Properties may enable integrations such as SMS, payments, or web push. The property’s configuration and relationship with its guests and staff determine which integrations are active.
Data retention
We retain information for as long as needed to provide the service, maintain security and audit history, resolve disputes, meet contractual requirements, and comply with law. Operational and audit retention periods may be configured or governed by the customer agreement.
Demo and contact requests may be retained while an inquiry is active and for a reasonable period afterward for business records, abuse prevention, and follow-up.
Security
Arkaiv uses technical and organizational safeguards that include role-aware access, row-level database security, explicit grants, server-side validation, protected service credentials, audit events, retention controls, and hardened application headers.
No system can guarantee absolute security. Customers are responsible for managing authorized users, devices, property configuration, and the security of credentials under their control.
Your choices and rights
Depending on your location and relationship with Arkaiv, you may have rights to request access, correction, deletion, restriction, or a copy of personal information. Some information may need to be retained for security, legal, contractual, or operational reasons.
Operational users should normally direct requests through their employer or property operator, which may act as the controller of information processed through its Arkaiv property.
Analytics, cookies, and local storage
Arkaiv uses essential browser storage for authentication, selected property context, preferences, and application functionality. The public site may use privacy-conscious analytics to understand page and conversion performance.
Browser and device controls may limit some storage or analytics behavior, but disabling essential storage can prevent authenticated features from working correctly.
Changes to this policy
We may update this policy as the product, providers, or legal requirements change. Material updates will be reflected by a revised effective date and may be communicated through the service or customer channels when appropriate.
